Marketing Mason LLC ("Marketing Mason," "we," "us," or "our") respects your privacy and is committed to protecting the personal information you share with us. Marketing Mason integrates artificial intelligence tools into both our internal operations and client-facing engagements. We believe in full transparency about how AI is used.

In Our Marketing & Operations

We use AI tools to assist with content creation, research, data analysis, and operational efficiency on the Site and in our marketing materials. AI-generated or AI-assisted content is reviewed and approved by Marcus Hermens before publication.

In Client Engagements

As part of our Fractional CMO services, we may use AI tools to:

  • Conduct market research, competitive analysis, and strategic analysis

  • Draft marketing copy, frameworks, email sequences, and campaign assets

  • Build prompt libraries and AI workflow systems for your team

  • Generate reports, dashboards, and data summaries

  • Accelerate the development of SOPs, playbooks, and strategic documents

All AI-assisted deliverables are reviewed, refined, and validated by our team before delivery. AI is used as infrastructure to increase speed and output quality — not as a replacement for human judgment, strategy, or leadership.

Data Handling With AI Tools

When using AI tools in client engagements, we take the following precautions:

  • We do not input personally identifiable customer data (PII) into public AI models without explicit client authorization

  • Confidential business information shared during engagements is handled per the terms of our engagement agreement

  • We use commercially licensed AI tools with enterprise-grade data handling policies where available

  • We do not use client data to train AI models

4. Third-Party Services

We use the following third-party services that may collect or process your data:

Squarespace

Our Site is hosted on Squarespace, which collects standard web analytics data and processes form submissions. Squarespace's privacy practices are governed by their own Privacy Policy.

Mailchimp (Intuit)

We use Mailchimp to manage our email newsletter. When you subscribe, your email address and any information you provide is stored on Mailchimp's servers and governed by Mailchimp's Privacy Statement. You may unsubscribe at any time using the link in any email.

Google Workspace

We use Google Workspace (Gmail, Google Drive, Google Calendar) for business communications and document management. Information shared via email or shared documents is subject to Google's Privacy Policy.

5. Cookies & Tracking

We do not deploy third-party tracking cookies, retargeting pixels, or advertising trackers on the Site. Squarespace may set essential cookies required for the Site to function properly (such as session management and security). These are first-party, functional cookies and cannot be used to identify you across other websites.

We do not participate in cross-site behavioral advertising or share browsing data with ad networks.

6. Data Retention

We retain your personal information only for as long as necessary to fulfill the purposes described in this policy, or as required by law. Specifically:

  • Contact form submissions and assessment data are retained for the duration of any business relationship, plus 24 months

  • Newsletter subscriber data is retained until you unsubscribe

  • Client engagement records are retained for 7 years in accordance with standard business and tax record-keeping requirements

You may request deletion of your data at any time by contacting us.

7. Data Security

We implement reasonable administrative, technical, and physical safeguards to protect your personal information from unauthorized access, alteration, disclosure, or destruction. However, no method of electronic transmission or storage is 100% secure, and we cannot guarantee absolute security.
